The Chair: transparency, auditability & control
Powered by GenWA. Our partnership shapes the control and governance framework around The Chair, with permissions, security, human oversight and agreed use within House rules. It can challenge assumptions, research, develop plans, draft documents and carry out specifically agreed tasks through approved tools. The host leads the discussion and members remain responsible for their decisions.
GenWA’s AI advisory and technology services. GenWA is an associated business interest of a Quorum House member.
Transparency. Before AI use, participants are told which tools and providers are involved, what they will receive, why they are being used, and who can access the output. Recording and transcription are separate choices; neither is assumed because AI research is permitted.
Agreed work. Each task has a defined scope, approved tools, an accountable member and a review point. AI does not have standing authority to contact third parties, commit money, publish material or change business systems. Any such action needs specific human authorisation and appropriate access controls. Execution means agreed tasks, not unrestricted delegation or unlimited consultancy.
Auditability. The framework requires a proportionate record of the agreed scope, participant agreement, when AI was active or paused, material shared, tools used and outputs produced, including sources where available. This is an access-controlled record of AI use, not a promise to record every word. Its access, retention and deletion arrangements are agreed before use.
Control. Participants agree before the session whether AI is used throughout, for selected parts, or not at all. Everyone affected must agree to the proposed processing. Any participant can ask for a pause; the host stops AI input and processing of new discussion while the group decides how to proceed. An off period is not retrospectively processed without fresh agreement.
Switching off does not undo earlier processing or delete agreed records automatically. Members can choose a version of a challenge without identifying details or decline AI participation. Private Circle material stays within its separately approved arrangements. No open group channel is treated as a confidential document store.
The framework is a service commitment. Providers, controls, audit arrangements and retention must be configured, documented and tested before activation; no live always-listening system is connected to this website. Individual AI messaging remains planned and requires separate activation.
Gatherings, remote participation & Monday Club
Gathering allowances and proposed fees are shown on the membership comparison. Hosted Manor House gatherings include light refreshments and a limited selection of drinks. Lunch, dinner, additional visits and optional experiences are included only where expressly confirmed for a booking; any extra charges are agreed in advance. Remote participation covers the conversation. Dates, venue, dietary needs, availability and total charges are confirmed before booking. Monday Club is the monthly London social evening, hosted by In Play Experiences and open to all membership options.
Remote participants should join from a private setting, use headphones and disclose any other person or tool that can hear the discussion. Recording, transcription and AI processing require prior informed agreement.
The member exchange: access, moderation & AI
Exchange is a proposed standalone membership at £75 a month, excluding VAT where applicable. Access is also included in Connected, Circle, Table and Board, without an additional group fee. The WhatsApp circle is planned, not yet active. No subscription for this service begins before the circle is available and the member has accepted its joining arrangements. Exchange does not include hosted video conversations or a working-gathering allowance. Extra visits and Monday Club bookings are separately arranged and charged where applicable.
Curated membership, moderated conversation. Admission is by application and personal review. Invitations are issued privately; members cannot add guests or circulate joining links. A named House moderator checks the group on working days, guides relevance, manages conflicts and removes inappropriate material where possible. Moderation is not continuous and messages may be visible before review. No promotional posting, harvesting contacts or unsolicited approaches. The Chatham House Rule and House Code apply; Private Circle material stays outside this group.
AI by agreement. The House uses agreed, de-identified questions in approved tools, then reviews material claims, sources and reasoning before sharing clearly labelled AI-assisted research. It does not continuously ingest or export the chat, connect an always-reading bot or combine members’ private AI histories. Sharing another member’s material with any personal AI needs prior informed permission from everyone affected. Research may be challenged and corrected; it is not a guarantee of accuracy or a substitute for professional advice.
Defined scope. Group research is selected for shared relevance, not an individual entitlement to unlimited questions, bespoke reports, immediate answers or execution work. Board’s separate individual brief and review remain distinct. Any connected-tool action needs specific human authorisation. Members can participate without commissioning AI work, and the House can pause it.
Privacy and retention. Group members may see your phone number and chosen profile details. Joining is a separate opt-in after acceptance, not a condition of holding another tier. A proposed 30-day disappearing-message window limits the ordinary chat history; it cannot prevent copying, screenshots, backups or material already retained by recipients. Do not use the group for sensitive documents, personal data, regulated casework or business secrets. Separately approved research records have disclosed access and retention arrangements before processing. No member contributions are authorised for model training under this offer; provider terms and controls must be verified before use.
Before launch, the House confirms providers, approved tools, moderation cover, group settings, privacy information, response expectations and cancellation terms. Membership and AI consent are not consent to marketing or public attribution. Card previews are examples, not issued credentials.
Individual AI messaging
Individual Chair messaging is planned, not active. Access, providers, usage limits, response availability, total fees, secure channels, retention and deletion must be agreed before activation. Instant responses and round-the-clock human support are not promised. Confidential casework belongs in an authorised workspace.
Discretion, Private Circles & stories
Standard discussion follows the Chatham House Rule and House Code. Private Circles require separate approval and a signed agreement defining permitted use, recipients, duration, handling and remedies. Confidentiality cannot be guaranteed absolutely. Corporate access does not automatically transfer Private Circle admission between delegates.
Published stories are edited career reflections, not transcripts of private member meetings. Business identities are withheld. Story photographs are created editorial illustrations, not records of the events described. Named profiles, quotations and case studies require separate approval of the material before publication.
Fireside notes: permission, review, approval & deletion
Recording is optional, never the default. Before any capture, the host documents the purpose, tools and providers, who may access the source, the draft-review deadline and a fixed deletion deadline. Everyone affected must give informed agreement. A participant can ask to pause or decline capture; an unrecorded conversation remains an option. Permission to use The Chair for research is not permission to record.
Only House-approved note-taking tools may be used. Access to source recordings and raw transcripts is limited to authorised House reviewers and approved processors. Provider retention, storage locations, transfer safeguards, training restrictions and backup deletion must be checked and disclosed before capture. Members may not make their own recordings or introduce an undisclosed transcription tool.
The House manually reviews and redacts the draft, checking factual accuracy and removing names, business identities, client details, sensitive figures and combinations of facts that could identify someone. De-identification does not automatically make material anonymous or safe to share. Participants can request corrections, further redaction or exclusion.
Every participant must explicitly approve the exact redacted write-up and its audience before release. Silence is not consent. A material edit requires fresh approval. If approval is incomplete, the draft is not published and the agreed source-deletion deadline still applies. Publication permission is separate from recording permission, public attribution and marketing consent.
Only approved written learning enters the private archive, accessible to authorised current members and eligible subscribed Alumni, subject to each item’s permissions and the House Code. Original recordings and raw transcripts are not archive benefits. Private Circle material remains within its named audience unless everyone concerned separately authorises wider release. Public extracts need a further, specific approval.
After approval, original recordings, raw transcripts, working copies and superseded drafts must be permanently deleted under the agreed schedule, including controlled provider copies. The House records completion without retaining the conversation itself. Backup expiry, provider deletion evidence and restore controls must be verified; deletion is not described as complete while recoverable copies remain. If a narrow legal preservation duty applies, only the necessary material is isolated, access restricted and the exception documented; it is not made available in the archive.
Approved notes are reviewed at least annually for continuing relevance, permissions and identification risk. Access ends when an eligible subscription ends. A member can raise a correction, withdrawal or privacy concern privately with the House. Copies already independently retained by recipients cannot be recalled; copying or forwarding restricted notes without permission breaches the House Code.
This is the required operating policy for future recorded sessions. The recording, participant-approval and private archive systems are not yet active. No capture or archive release begins until the controls, access checks and deletion process have been configured and tested. The final timings and provider arrangements are supplied before participation; there is no indefinite retention while awaiting approval.
The members’ Fireside archive
Every membership includes access to the full-length Fireside collection as it is released: the context, decisions and learning beyond the public reflections. The members’ archive is being prepared for release; its content and availability are confirmed before joining. It contains written accounts and conversations shared with the necessary permissions, rather than automatic recordings or transcripts of private gatherings. Confidentiality and agreed attribution remain protected. Recorded sessions follow the participant-approved review, redaction and deletion policy. Eligible subscribed Alumni also receive access as material is released.
Securing your 2027 membership & Christmas at Quorum House
Applications close 30 October 2026; proposed members must apply by 26 October. Accepted members must make the payment specified in their joining agreement before 30 November 2026 to secure membership beginning in January 2027. The agreement confirms the amount due, payment schedule, included services and renewal terms. Applying alone does not reserve a place.
All successful, fully paid-up members will be invited to Christmas at Quorum House: drinks, canapés and introductions to the class of 2027. The date, arrival arrangements and private venue details will be supplied to invitees. The House Code and safe-travel commitments apply.
Payment collection is not yet active on the website. Confirmed payment instructions follow personal acceptance and the joining agreement; do not send money through an unverified link or to reserve an unapproved application.
Annual payment, introductions & renewal
Annual membership is paid upfront at 30% below twelve agreed monthly payments. Published annual fees are: Exchange £630, Connected £1,050, Circle £2,100. Table and Board are priced on application. VAT is added where applicable. Corporate fees are agreed separately. Payment follows approval and the joining agreement. To secure an accepted 2027 place, payment must be received before 30 November 2026. Membership begins in January 2027.
Each active member may propose five people per membership year. Invitations are personal and subject to review; a proposal does not guarantee acceptance. Proposed members must submit their 2027 applications by 26 October 2026.
Members can switch auto-renew off in their private account. This stops the next renewal and preserves the existing paid term, subject to the joining agreement and statutory rights. Stripe payment collection and member invitations will open once their services are connected and tested.
Suspension, ending membership & refunds
Quorum House may suspend access or end membership where we reasonably conclude that a member has committed a serious or repeated material breach of the House Code or joining agreement, or that continued participation creates a material risk to the safety, confidentiality or security of members, or to the lawful operation of the House. Grounds may include deliberate unauthorised disclosure, harassment, fraud, materially misleading application information, or non-payment after written notice and a reasonable opportunity to pay. A manageable conflict of interest should normally be addressed through appropriate boundaries rather than termination.
We act reasonably and proportionately. We may restrict access immediately where necessary to contain a serious or urgent risk. Otherwise, we explain the concern, allow a reasonable opportunity to respond and, where appropriate, to remedy the breach. We confirm the decision and reasons in writing, subject to protecting other people and lawful restrictions. A member may request a review through the private contact route. Respectful disagreement, a good-faith complaint or lawful reporting is not a ground for removal.
Fees for services properly provided remain payable and are not refunded solely because membership ends. Any unused advance payment is refunded after deducting only amounts lawfully due and fair, proportionate deductions permitted by the joining agreement for evidenced, unavoidable costs or losses directly caused by the breach. We take reasonable steps to reduce losses and do not recover the same loss twice. Where lawful deductions exhaust the unused balance, no refund may be due; there is no automatic forfeiture of all fees. If we end membership without a member breach, unused prepaid services are refunded, subject to any greater legal entitlement.
These provisions must be included in the joining agreement supplied before payment. They do not remove statutory cancellation rights, remedies for services not properly supplied, protected reporting or any other non-excludable right. Confidentiality commitments continue after membership ends, subject to lawful disclosure.
Joining, professional advice & your rights
Application does not reserve a seat or guarantee acceptance. Fees are proposed and VAT treatment, services, duration, cancellation and refunds are confirmed in a separate joining agreement before commitment. Corporate membership supports peer learning, not an accredited qualification or guaranteed promotion. Individual coaching and professional advice are arranged separately.
Discussion and AI research do not replace regulated or specialist advice. No particular commercial result or legal outcome is promised. Lawful reporting and statutory rights remain protected.
